Tools that work together

API integration: connect your website, CRM and software

An order needs to reach business management software, an enquiry needs to create a record, a status needs to appear in the client area. Gloria designs connections between your website, software and data: an existing connector, automation or a custom API. The project defines what moves between systems, who can access it and how to resume an interrupted exchange.

Connection objectives: avoid re-entering data and track exchange errors

  • Avoid copying the same information repeatedly
  • Track exchanges and their errors
  • Develop your tools through documented interfaces

Your project in practice

Define the data to transmit, trigger, timing and checks

API means an interface that allows software systems to exchange information. For you, the issue is the expected behaviour: when an event occurs, what information should arrive elsewhere, how quickly and with which checks? We document this journey with the teams that actually use the data.

Projects can connect a CMS to a CRM, a shop to a management tool, a form to a booking platform or an application to a service provider. The originating system does not have to be WordPress. Feasibility depends on available interfaces, granted permissions and sometimes each tool's subscription tier.

We also identify what should remain independent. Synchronising every field in every direction creates conflicts and increases maintenance. A system of record is designated for each piece of information. This prevents a correct change from being overwritten minutes later by older data from another tool.

Compare native connections, automation platforms and custom development

A native integration is often the first option to examine. It can meet the need quickly, provided its fields, limits and error behaviour are checked. An automation platform offers flexibility for chaining steps. Custom development is justified when rules, volume or constraints exceed those capabilities.

Custom API connectionBehaviour tailored to the business processDevelopment, hosting, monitoring and updates

Real-time processing is not always necessary. A daily update may suit reporting; a booking confirmation requires a different response time. We define this expectation before choosing the solution and its budget.

Example: registering a participant without creating two records

A fictional training provider offers website registration, online payment and tracking in its industry software. Participants should not have to re-enter contact details at every step. The team nevertheless needs to distinguish an enquiry received, payment confirmed, registration accepted and any cancellation.

The journey first assigns an identifier to the registration. Payment confirmation is verified server-side with the provider; simply arriving on a “thank you” page is insufficient. The operational record is created or updated using that identifier, then a viewable status shows what happens next. Payment does not automatically trigger every administrative decision if a check is still required.

If the provider sends the same event twice, the integration recognises that it has already been processed. If the industry software is unavailable, transmission is queued and a planned alert enables intervention. When service returns, processing resumes in a controlled way, without duplicate registrations or messages. This illustrative case shows why exception handling belongs in the integration from the design stage.

Match fields, formats and statuses between the two tools

Two software tools may use the same word for different concepts. “Customer” sometimes means a person, sometimes a company and sometimes a billing account. We prepare a field mapping specifying format, allowed values, required data and necessary transformations. Dates, currencies, identifiers and statuses deserve particular attention.

Historical data transfer is distinguished from future exchanges. Importing old orders requires checks of their links to customers and items, duplicates and missing information. Checks cover a sample of complete records, then overall volumes. Exceptions are listed for a decision rather than silently resolved through an assumption.

We limit transmitted fields to the needs of the data flow. A scheduling tool may need a job address without receiving the entire sales file. Deletion, archiving and correction rules are also defined to prevent data removed from one system reappearing during the next exchange.

Protect access and plan for interruptions

A connection uses service-specific credentials limited to necessary operations. Private secrets remain server-side; they are not placed in code sent to the browser. Incoming data is validated, permissions are checked and incoming events are authenticated using the provider's mechanism.

We plan for rate limits, timeouts, unexpected responses and format changes. Retries are bounded and spaced according to the context. A stable identifier prevents a retry from repeating an operation already completed. Providers do not all offer the same guarantees: their documentation is examined for the chosen data flow.

Logs retain information useful for diagnosis, such as the processing identifier, time and status, without unnecessarily recording passwords or sensitive data. A designated person receives the planned alerts. Access, retention and data processing requirements are defined within the project; a functioning connection does not constitute a general security guarantee.

Track successful exchanges, duplicates, delays and avoided data re-entry

Technical indicators describe the proportion of successful exchanges, transmission delay, queued records, duplicates and recovery time. Business indicators examine eliminated re-entry, corrected errors and handling times. Monitoring connects the two: an API that responds can still transmit incomplete or unusable information.

Illustrative calculation: 600 monthly orders each require two minutes of copying, amounting to twenty hours. The integration does not automatically save twenty hours: time spent checking orders, correcting exceptions and administering the connection must be measured. Gains are compared with the previous situation at similar volumes.

The total budget includes implementation, any connector subscriptions, billed operations, hosting and maintenance. Return on investment is calculated over an agreed period from savings or capacity that can actually be used. Improved reliability can also be a useful objective, with its own indicator, even if its monetary value remains uncertain.

Test creation, updates, duplicates and recovery after interruption

Acceptance testing is based on a list of expected exchanges and their results in each system. We check, in particular, creation, updates, duplicates, missing fields, denied access, timeouts and recovery after interruption. For critical flows, reconciliation verifies that volumes and statuses match on both sides.

Tests use test environments and data where providers allow them. A test message, payment or record change must not inadvertently affect a real customer. Final production checks have a scope explicitly agreed with you and a way to identify the data involved.

You receive the exchange diagram, field mappings, execution conditions and recovery procedure. The switchover plans the necessary backup, person responsible for approval and criteria for suspending the flow. This documentation should make errors understandable and allow you to regain control without relying on the developer's memory.

Prepare a quote and maintenance arrangements for your connections

To scope the project, specify the tools, their versions or plans, the objects to exchange and expected volume. Add a sample record and acceptable delay between stages. Access to documentation or a test environment allows feasibility checks before promising a connection.

The quote distinguishes assessment, configuration or development, any data transfer, testing, deployment and documentation. Licences, paid quotas and infrastructure are identified separately. Maintenance specifies how an API change, expired credentials or an added field will be handled; these changes must not be assumed to be included without limit.

An integration can accompany a website or application, a migration, a CRM or an AI function. It is priced according to its scope, separately from standard website foundations. Describe the two tools you want to connect and the operation currently performed manually.

Questions about compatibility, real-time processing, outages and connection recovery

Can any software be connected?

Feasibility depends on its interfaces, terms of use and available permissions. An API, official connector or export may offer different options. We verify these points before confirming the scope.

Do we need a real-time connection?

Only if the journey requires it. Scheduled processing may suffice for reporting or a stable catalogue. Confirmations and availability may require a shorter delay. That delay forms part of the acceptance criteria.

What happens if a provider is unavailable?

Behaviour is defined for each flow: queuing, limited retries, alerts and recovery. Some operations require human checks. Documentation specifies what is retained and how to avoid processing the same action twice.

Can another provider take over the connection?

The quote defines handover of code or configuration, planned access and documentation. Third-party components remain subject to their licences. Accounts and the handover procedure are clarified during planning.

Describe your business, current tools and expected outcome. We can then propose a scope, identify the necessary access and price the options before starting.
